Accounting Assistant

Position Summary and Responsibilities

Our busy Accounting Department is looking for a bright and experienced Accounting Assistant to join our cohesive team of upbeat, hardworking professionals. This position will be responsible for providing accounting and administrative support to 2 supervisors and the CFO.

The ideal candidate is a detail-oriented, analytical, self-motivated, problem-solver who is also a true team-player!

Required Work Experience and Skills:

  • Working knowledge of general accounting processes
  • Hands-on accounting and administrative experience within an inventory-based, product distribution setting (Note: please do not apply if you only have experience in a non-inventory service industry such as a bank, law firm, call center or utilities company!)
  • Long-term work history (No job hoppers; we want a long-term team member who is looking for a career with growth, not just a job.)
  • Clear and concise communication skills (verbal & written)
  • Strong math skills, including the ability to understand different units of measure and packaging configurations
  • Ability to multi-task, set priorities and meet deadlines
  • Knowledge of shipping methods and terms; experience with domestic and export shipments a plus.
  • Understanding of credit terms
  • Strong organization skills, quick learner with excellent retention skills, positive attitude, easy-going, ability to be flexible and patient in a fast-paced dynamic environment.
  • Proficiency with Outlook e-mail along with excellent Excel and Word skills

Essential Duties and Responsibilities:

  • Perform accounting and clerical functions to support supervisors
  • Match invoices to quotes and post high volume of A/P freight invoices (ground/LTL/FCL)
  • A/P file management: ensure A/P files are properly maintained
  • Monitor and maintain Accounting inbox
  • Assist with A/R collection; e-mails, phone calls, including requests for copies of invoices and PODs.
  • Document management: scanning of A/P, A/R and billing paperwork
  • Backup to billing manager: must learn billing/invoicing process
  • Knowledge of Microsoft Dynamics Navision (ERP system) a plus
  • Communicate with other departments as related to billing, A/P or A/R: discrepancies, credit issues, etc.
  • Team player with ability to work well with supervisors, co-workers, other departments, etc.
  • Research, track, and resolve accounting problems as required
  • Willing to cross-train as needed


  • High school diploma or GED accepted; College degree preferred
  • 5+ years experience at an inventory-based company (A/P, A/R or general accounting)
